Now you are ready to start setting up your project. The first step when setting up a project is to create phase plans. To create a new phase plan, select the + Plan in the top left corner of the Phase Plan List, and add the phase plan name and the start and end date. Click Save and the new Phase Plan will be added to the project.
After creating Phase Plans, you can begin adding project members, creating roles, and more. You can do this by selecting the three dots at the top of the Phase Plan List which will allow you to edit Project Settings, Add Project Members, Change/Add Locations or Roles, Use the Master Alignment Tool, or Run Reports.
Before you can start adding members to the project you have to understand the types of users you can have:
- Admin User: The project team members or those who will be facilitating Touchplan meetings. Admins will have the ability to create/edit/update a task in any role and full access to all Project Settings.
- Basic User: A member invited to participate in Touchplan meetings and planning. These users can be assigned one or multiple roles, and those will be the tickets they can create/edit/update.
Now that you understand the two types of users in Touchplan, you will need to add them to the project and assign them their specific role/s. Click on the three-dotted button at the top of the Plan List. From the drop-down menu, select Members, click + Member, enter their email address associated with their Touchplan account, and assign them one or multiple roles. Once you select Save, the project will be added to their Project List if they have a Touchplan account and they will receive an email inviting them to the project.
Tip: Users do not need to wait for the email to get access, anyone can sign up for a free account at Touchplan.io at any time
To add or edit roles in a Project, click Roles in the three-dot drop-down menu, and select +Role to create a role for each team member’s company or discipline — assign the role a name and role color to be easily identified in each plan. In the next section, we’ll work through How to Build a Plan. The overall planning process is easy: teams will collaboratively work to create a detailed schedule. You’ll start with a blank plan and focus on building a sequence of tickets.
